INVITATION TO BID For award one year vehicles spare parts supply contract(s)

1. Subject of Tender
1.1. Office of the High Representative invites bids for award of contract(s) for one year continuous supply of VW and Toyota vehicles spare parts.
1.2. List of spare parts is attached below. Bidders should note that this list is not complete or exhaustive, but represents a selection of the parts in common use. Individual orders may be placed at any time. The successful bidder may be expected to supply any required parts for the vehicles indicated, and actual supplies may differ from those listed.
1.3. All awards will be made in complete lots as listed below:
LOT 1: Award of one year supply contract for Volkswagen spare parts.
LOT 2: Award of one year supply contract for Toyota spare parts.
1.4. In all cases deliveries will be to OHR workshop in Eastern Sarajevo.
1.5. In all cases spare parts must be manufacturers original and genuine.
1.6. OHR offers no guarantees as to annual quantities spare to be purchased, but for pricing purposes bidders may wish to note the current fleet content:
Toyota Landcruiser: 36, Previa 1
VW Passat variant: 16, Transporter T4: 1
2. Instructions to biders
2.1 Suppliers can submit offers for each of the Tender sections (LOT).
2.2 Offers must include the following:
– Name and address of supplier, contact phone number and name of the contact person.
– All information about prices and payment terms
– Delivery cost, if not included in the price and how you would charge for delivery to Eastern Sarajevo
– Please state any minimum order value (if any) which would be expected,
– Delivery time
– Company reference list
– Proof that company is authorized distributor/dealer of spare parts.
Incomplete offers (part of any Lot) will not be considered.
2.3. Prices must be in KM (Convertible Marks) or EURO, excluding VAT. OHR payment terms are bank transfer within 30 days from the date of delivery.
2.4. Contract concluded with OHR will include unit prices and other terms stated in your offer. Your offer will be attached to the contract and considered legally binding for the duration of the contract.
2.5. Award of contract will be made based on price, payment terms, delivery time, delivery costs or any combination of those and other elements.
2.6. Deadline for submission of offers is 19 June 2009.
2.7. OHR reserves the right to enter into negotiations with any bidder or to end the Tender without awarding the contract. OHR will not bear any costs of bidders in process of preparation of bid.
2.8. By taking part in this Tender, bidders confirm that they are registered for performing of business which is subject of this Tender.
2.9. All offers must be submitted in sealed envelope marked “Tender for spare parts” to the following address, latest by 19 June 2009 by 17:00 hours:
